Who we are

Ascent Systems is a UK-based AI automation agency, registered in England and Wales. Our website is ascentsystems.co.uk. You can contact us at hello@ascentsystems.co.uk.

This policy explains what personal data we collect when you use this website, how we use it, and your rights under UK GDPR and the Data Protection Act 2018.

How we store your data

Email addresses collected via the Invoice Chaser, MTD Checker and contact form are stored in a secure database on our own servers, hosted in the UK. We retain email leads for a maximum of 24 months from collection, after which they are deleted.

We do not store your payment card details. All payment processing is handled by Stripe, which is PCI-DSS compliant. Stripe's privacy policy applies to data you submit during checkout.

Who we share your data with

We use a small number of third-party processors. Each is bound by a data processing agreement:

  • Resend — transactional and follow-up email delivery. Your email address is passed to Resend to send you the templates and follow-up sequence you requested.
  • Stripe — payment processing for the Recovery Pack. Subject to Stripe's own privacy policy.
  • Internal notification systems (Telegram bot) — used only to alert our team of new enquiries. No data is stored externally.

We do not sell, rent, or trade your personal data to any third party for marketing purposes.

Follow-up emails (marketing communications)

If you submit your email address via the Invoice Chaser tool, you will receive a short follow-up sequence (3 emails over 14 days) with additional resources on recovering late payments and information about our services. These emails are sent via Resend. If you submit your email address via the MTD Checker tool, you will receive a follow-up sequence (4 emails over 14 days) with MTD guides and deadline reminders.

You can unsubscribe from this sequence at any time using the unsubscribe link in any email, or by contacting us at hello@ascentsystems.co.uk.

Cookies

This website does not currently use analytics cookies or advertising cookies. We do not place any non-essential cookies on your device. Session cookies may be used where necessary for functional operation of the site (for example, Stripe's payment flow may set cookies during checkout).

We will update this section if we introduce any analytics or advertising tools in future.

Your rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate data
  • Erasure — ask us to delete your data (subject to our legal obligations)
  • Restriction — ask us to limit how we use your data
  • Portability — receive your data in a machine-readable format
  • Object — object to processing based on legitimate interests
  • Withdraw consent — where processing is based on consent, you can withdraw at any time

Complaints

If you believe we have handled your data unlawfully, you have the right to lodge a complaint with the Information Commissioner's Office (ICO): ico.org.uk, or by calling 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last revised. For significant changes, we will notify users via email where we hold a contact address.
